PulseMarko Inbox

Messenger CRM: all customer chats in one window

Messages from your Telegram bot, Viber bot and website chat land in one shared Inbox. Every conversation has an assignee, labels and customer notes sit next to it, and a report shows how many minutes people waited for a first reply.

Each team member signs in with their own login, so the work phone with Viber no longer has to be passed from hand to hand.

Free with no time limit: 1 operator, all folders, templates and the report, 90 days of conversation history. Each additional operator costs $3.99 per month (≈180 ₴).

Common problems

Customers write in different messengers, but you can answer from one place

In a shop or a studio it often goes like this: one manager answers on Viber from the work phone, another sits in Telegram on a laptop, and a question from the website waits until evening because nobody looked there. A service that collects all messengers in one window is called a messenger aggregator or an omnichannel inbox. In PulseMarko it is the Inbox section.

Two people answered one customer

The customer gets two different prices from two people and no longer knows whom to believe.

How it is solved

The conversation shows "Olya is viewing" and "Olya is typing a reply…". If a colleague got there first, you see a warning before sending: "While you were typing, Olya already replied to this customer".

Read and forgotten

The message was opened between two calls, but there was no time to answer. The "unread" mark is gone, so nobody remembers it.

How it is solved

The conversation stays in the "Awaiting reply" folder until someone answers the customer. A "waiting 12 min" timer sits next to the name. If someone waits longer than 5 minutes (you can change the threshold), the assignee gets a reminder in Telegram.

Nobody knows who owns the customer

The customer writes a second time, and managers sort out among themselves who talked to them last time.

How it is solved

Use the "Take it" button or pick a person in the "Assignee" menu. New conversations can be handed out in turn among the employees you choose. Whoever is assigned gets a message in Telegram.

One account for the whole team

One messenger account is open on two phones, everyone knows the password, and chats of different managers get mixed up.

How it is solved

Messengers are connected through bots, and employees sign in to PulseMarko with their own logins. The reply goes to the customer from the bot, and the history shows which team member wrote it.

3 steps

How to start

Connect a channel

For Telegram, create a bot in @BotFather and paste the token. For Viber you need a bot token from partners.viber.com. Website chat is installed with a plugin or one line of code.

Add your team

Invite employees under "Team and roles". The first operator is included in the free plan, and each additional one costs $3.99 per month.

Message yourself and reply

Write to your bot from your personal phone. The conversation appears in the "Awaiting reply" folder. Reply, add labels, close it.

Channels

Which messengers you can connect

Telegram, Viber and website chat work now. Instagram, Facebook and WhatsApp are marked separately: they will start working after Meta reviews our app.

Telegram

Works

Messages, photos, files and voice messages from the customer. The operator replies with text, photos, video, PDF or a voice message up to 20 MB. A fit if you are looking for a Telegram CRM without a separate app for each manager.

Viber

Works

Conversations from the Viber bot sit in the same list as Telegram. Replies with images and files go out from here too. You cannot connect a personal Viber number, only a bot.

Website chat

Works

Questions from visitors of your website. Widget setup is described on the website chat page.

Instagram and Facebook

In development

The code is ready, we are waiting for Meta review. After launch, their rule will apply: you can reply within 24 hours after the customer's last message. The timer for this window will be shown in the conversation.

WhatsApp

In development

Connecting through the official WhatsApp Cloud API is also waiting for Meta review. The 24-hour rule applies here too.

Features

What the Inbox can do

Everything below is in the interface now. Button names are given as you will see them.

Folders instead of one feed

"Awaiting reply", "Mine", "Unassigned", "All open", "Snoozed", "Closed". Channels are filtered with buttons, and the "Longest waiting first" sort puts forgotten conversations at the top. You can "Snooze" a conversation until tomorrow 9:00 or Monday, and if the customer writes earlier, it comes back by itself.

Reply templates

Type "/" in the reply field and a template search opens. You can save up to 200 templates, and the {name} variable works in the text. Prices, delivery, address and opening hours only need to be written once.

Notes for the team

The "Note" tab sits next to the reply field. Only colleagues see a note, and nothing is sent to the customer.

Files and voice messages

Use the paperclip, paste from the clipboard or drag a file into the conversation, up to 20 MB. Voice messages are recorded right in the browser. If a reply was not delivered, a "Retry" button appears under it.

Bulk actions

The "Select" button above the list, and Shift selects a range. Selected conversations can be closed, snoozed, assigned to an employee or labeled in one click.

Search through conversations

Searches by name, username, phone, email and by words from messages of the last 90 days. Three letters are enough.

Customer card

Customer card: a simple CRM right in the chat

A card opens to the right of the conversation: channel, username, "Labels", "Customer notes", the date in the "Customer since" field and a status of "New", "Customer", "Regular" or "Lost". If the card has a phone number, the "Create lead" button moves the request into the "Leads" section.

Sometimes a person writes on Telegram first and on Viber a week later. If the phone or email matches, the card shows "Looks like the same customer". After "Merge", labels, status, notes and assignee become shared, while the conversations stay separate and the reply goes to the channel the customer wrote from. "Unmerge" puts everything back as it was.

Labels will come in handy for Telegram and Viber broadcasts by label. There is no sales funnel with deals here: this is a messenger CRM in its minimal form, without a separate accounting system.

From your phone

Reply from your phone: through Telegram or the browser

Each team member can receive new requests in their personal Telegram from a service bot. You reply to that message, and the text goes to the customer in their channel. From Telegram you can only reply with text for now. Photos and files are sent from the Inbox.

There is no separate app in the App Store or Google Play. The Inbox opens in a mobile browser, and the side menu has "Notifications on this device". Then messages arrive even with the tab closed. On iPhone, notifications work after you add the page to the Home Screen (iOS 16.4 and newer). The conversation text does not pass through Google or Apple servers: the browser only receives a signal and fetches the message from PulseMarko.

Report: how fast you reply and how many requests you lose

The "Statistics" page in the Inbox counts requests and "Human first response" for today, 7, 30 or 90 days, with a filter by channel. Requests left without a reply for more than 15 minutes go to "Lost", and the list of those customers is visible right away.

A separate table shows each operator: how many conversations, how many replies, how fast the first one was. "Satisfied" comes from the ratings customers give in the website chat.

The bot and AI answer first, a person steps in when needed

Typical questions can be handled by a chatbot for Telegram and Viber with buttons, and answers based on your materials come from the AI chatbot (50 answers per month free). Everything they wrote is visible in the same conversation.

AI can make mistakes, so a conversation can be handed over to a manager. It appears in "Awaiting reply" together with the whole previous conversation.

Prices

How much a messenger CRM costs

The Inbox is not sold as a separate module. You only pay for extra operators. Modules (bot, website chat, AI, broadcasts) are bought separately, and each has a free tier forever.

Limits

What to know before you start

  • Instagram, Facebook and WhatsApp are in development: we are waiting for Meta review. TikTok is waiting for TikTok approval. Telegram, Viber and website chat work now.
  • Bots are connected, not personal accounts. Customers write to your Telegram or Viber bot, not to a manager's personal number.
  • Viber charges €100 per month for bots created after February 2024, and separately charges for messages the bot starts on its own. This is Viber's pricing, not PulseMarko's.
  • From Telegram a manager can only reply with text. Photos, documents and voice messages are sent from the Inbox.
  • There is no deal funnel and no warehouse accounting. There is a customer card, status, labels and leads.
  • There is no separate mobile app, only the browser and notifications. Notifications need HTTPS, and on iPhone also iOS 16.4 or newer.
  • On the free plan conversations are kept for 90 days, and older messages are deleted. With any paid module the period is 730 days.
FAQ

Frequently asked questions

How do I put all my messengers in one window?

Connect a Telegram bot and a Viber bot with their tokens, and install the chat on your website. All new messages appear in the PulseMarko Inbox. Each team member opens it in their own browser with their own login.

Which messengers can I connect to the CRM?

Telegram, Viber and website chat work now. Instagram, Facebook and WhatsApp are in development and will start working after Meta review. TikTok is waiting for TikTok approval.

Can the whole team work from one messenger account?

Yes. There is one bot, and team members sign in to the Inbox with their own accounts. Every conversation has an assignee, and if two people open the same one, you can see who is viewing it and who is typing a reply.

Will messages from different channels get lost?

A conversation stays in the "Awaiting reply" folder until the customer gets an answer. If someone waits longer than 5 minutes, the assignee gets a reminder in Telegram. You can change the threshold to 10, 15, 30 or 60 minutes, or turn it off. In the report, requests left unanswered for more than 15 minutes are marked as "Lost".

How does the CRM know it is the same person writing on Telegram and Viber?

If two contacts share a phone number or email, the card shows the hint "Looks like the same customer". After you click "Merge", labels, status, notes and assignee become shared. Contacts are never merged automatically without your confirmation.

How much does it cost to connect a messenger to the CRM?

Connecting a channel is free. One operator is included in the free plan with no time limit, and each additional operator costs $3.99 per month (≈180 ₴), up to 50. Channel limits come from the modules. The bot is free up to 500 subscribers and 10,000 bot messages per month, then the price depends on the number of subscribers: from $9.49 per 1,000. Website chat is free for 1 site and 100 conversations per month.

How is this different from apps like Franz or Rambox?

Those apps open several messengers in tabs on a single computer. In the Inbox, a conversation has an assignee, notes for colleagues, templates, labels and reply statistics, and several people work in it at once from different devices.

Who can see conversations with customers?

Only the employees of your company whom you added under "Team and roles". Customers never see notes. In browser notifications, the message text does not pass through Google or Apple servers.

Connect your first bot and test it on your own phone

Sign up, add the Telegram bot token, message yourself. The first conversation shows up in the Inbox in a few minutes.
